The Wisconsin Bakers Association (WBA) is a 501©6 non-profit trade organization dedicated to helping members increase their baking and business knowledge, fostering the education of future bakers, keeping members informed about developments in the baking industry and legislative matters that affect them since 1905. Position Summary

The Administrative Assistant will be responsible for a variety of administrative and other tasks providing support where needed. The Administrative Assistant will provide high-level administrative support primarily to the CEO of the Wisconsin Bakers Association. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

 

Salary

This is a part-time position with some opportunity for both a flexible schedule and to work virtually from home, and also includes some limited travel. The position averages 10 hours/week. The salary range is $15-$20/hour. 

 

Travel

Travel is required to meetings and events held in person throughout the year. There are up to 6 board meetings held either virtually or in person annually and additional in person events.

Qualifications

  • High school diploma required, bachelor’s degree preferred
  • Ability to communicate effectively and professionally
  • Excellent interpersonal and organizational skills with attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Flexible hours as dictated by the needs of business for projects and meetings

Knowledge and Abilities 

  • Ability to work independently
  • Proficient in managing social media business platforms and tools
  • Strong content creation, editing, and copywriting skills
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) with the ability to learn new or updated software
  • Creative thinker with the ability to generate new content ideas and adapt to current trends
  • Strong data entry skills; experience with data entry and CRMs
  • Ability to manage multiple projects within designated timelines while delivering high-quality results
  • Experience in email marketing (MailChimp) beneficial
  • Basic knowledge of graphic design or tools like Canva is a plus

 

Responsibilities

  • Provide administrative support primarily to the CEO of the Wisconsin Bakers Association
  • Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the organization
  • Assist in preparing and managing presentations and slide decks
  • Attend weekly 1:1 zoom meetings with the WBA CEO
  • Maintain a daily calendar of meetings and events
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization
  • Provide meeting planning and preparation support to ensure successful planning and execution of meetings
  • Assists/supports members of the WBA Board of Directors with specific tasks as directed by the CEO
  • Meeting preparations may include logistics, compiling, and distributing meeting agendas, minutes, and financial materials, ordering refreshments, booking conference rooms, coordinating setup of projectors or video conferencing equipment, etc
  • Assist CEO with planning and preparing for events and trade shows
  • Manage forms, surveys, and compile results
  • Data entry (membership CRM, etc)
  • Produce and publish related content for social media and email marketing
  • Production of biweekly Baking Buzz enewsletter
  • Work in a supportive and collaborative environment
  • Respond to general questions about the association, respond to requests by gathering and providing information and referring non-routine calls to the appropriate person
  • Attend trade shows and represent the WBA in a professional manner throughout the event and at the WBA’s booth
  • Capture and share engaging content across social media platforms
